Office Manager and Administrative Assistant

Overview:

I Support the Girls (ISTG) is a non-profit organization with a network of international affiliates that collects and distributes essential items including bras, underwear, and menstrual hygiene products, allowing women and folx experiencing homelessness, impoverishment, or distress to stand tall with dignity.  Currently, ISTG fulfills its mission by focuses on advocacy efforts to raise awareness for menstrual equity while managing the logistics of collecting and distributing millions of bras, underwear, and menstrual hygiene products to people in need.

ISTG the is seeking a full-time (40-hour per week) experienced office manager and administrative assistant to help run its office and warehouse in Rockville, Maryland.

Responsibilities:

The office manager and administrative assistant position includes the following main responsibilities:

  • Manage the ISTG office and warehouse in Rockville, MD;
  • Manage donations delivered to the Rockville office and warehouse;
  • Provide administrative support for ISTG’s Founder and staff; and
  • Coordinate in-person volunteer activities at the Rockville office and warehouse.
  • Other duties as assigned

More details regarding each of these responsibilities is provided below.  Although not exhaustive, this list provides a sampling of day-to-day requirements for the position.

Office and Warehouse Management

  • Maintain a safe, clean, and organized office and warehouse environment.
  • Restock warehouse items as needed, including office supplies, shipping supplies, snacks, and drinks.
  • Maintain inventory and accounting audit management software.
  • Communicate with landlord and maintain professional relationships with ISTG neighbors.

Donation Management

  • Transport packages between the Rockville, MD warehouse and nearby USPS/UPS locations at least twice a week. Ability to lift up to 40 pounds.
  • Process incoming donation packages and prepare receipts and thank-you notes.
  • Schedule and coordinate donations to local organizations, including tracking all outgoing donations.
  • Export product requests and manage and prepare all outgoing shipments.
  • Schedule and manage all incoming donations from corporate partners.
  • Record all incoming financial donations received.

Administrative Support

  • Support ISTG’s Founder with scheduling, media appearances, travel, and other needs.
  • File and scan all paperwork including checks, receipts, and invoices.
  • Manage all voicemails and missed calls.
  • Maintain list of local partner organizations.
  • Update donor and recipient stories as needed
  • Provide other administrative support to ISTG staff as needed.
  • Data entry for volunteer, donor, and Affiliate management.

In-Person Volunteer Coordination

  • Schedule, manage, train, and oversee volunteers at the Rockville warehouse.
  • Reach out to local volunteers as needed.
  • Provide a clean, organized, and welcoming environment for volunteer events.

 

Competencies:

The most important skills for this position are:

  • Strong organization skills: This position requires keeping track of communications, following up with reminders to other organizations and staff members, being observant about the situation around you in terms of what needs to be done without being asked, and making sure that office and warehouse runs smoothly.
  • Strong interpersonal skills: Strong people skills is the key to success – we value compassion, empathy, and relating to people of all types and orientations.
  • Strong communication skills: We got lots of emails and phone calls! We need someone who can respond to messages in a professional and timely manner.
  • Technical skills: Basic Microsoft Office suite, internet, and data entry skills.
  • Being a self-starter: This position will not have a manager present daily so needs to take initiative to complete tasks and work products without ongoing and detailed supervision.

 

Location: The position is located at ISTG’s offices/warehouse in Wheaton, MD.  Successful candidates need their own reliable transportation to and from the office, and the ability to pick up packages in the Rockville, MD area.  Telework is not possible for this position.

Social Media Coordinator

 

Overview

Calling all offbeat creatives, on-brand geniuses, and folx who like to geek out over social media analytics. I Support the Girls (ISTG) is seeking a full-time (40-hour per week) Social Media Coordinator who will be responsible for continuing and cultivating ISTG’s brand online.

The Daily Priorities

  • Create unique, timely content consistent with our brand. The timely part is super important – we like to be first on relevant trends! You get to be a TikTok Creator.
  • Administrate the publishing of relevant, original, high-quality content, using a regular publishing schedule/calendar you curate. Analyze historical and future engagement data to maximize reach.
  • Promote content through social advertising, managing the content through an editorial calendar, and planning specific, timely marketing campaigns.
  • Identify and implement ideas that will improve our content (training the rest of us how to be awesome, recognizing and rewarding us for learning, etc.)
  • Manage multiple social media accounts with ease.  We get a freakishly incredible amount of likes, responses, messages, and exposure on social media.
  • Work with the rest of the ISTG team on coordinated cross-platform campaigns.

 

Competencies

The most important skills for this position are:

  • Existing knowledge of managing ad and business accounts, especially TikTok Business, as well as the ability to create and edit Tiktok videos and create strong content on all social media platforms including Instagram, Facebook, Twitter, Snapchat, and any to-be-created platforms. Successful candidates will have their own personal social media accounts with a significant number of followers.
  • Creativity: To be super creative and engaging, be able to read the room and respond appropriately to messages, and also determine appropriately edgy and “catchy” content. We also need someone who can communicate concepts effectively to our graphic designer.
  • Strong interpersonal skills: Strong people skills is the key to success – we value compassion, empathy, and relating to people of all types and orientations.
  • Strong communication and time management skills: We got lots of emails and requests for social media responses. We need someone who can respond to messages in a professional and timely manner, create content quickly, be open to editing that content, and manage multiple requests without losing their cool.
  • Being a self-starter: This position will not have a manager present daily so needs to take initiative to complete tasks and work products without ongoing and detailed supervision. A successful candidate will be able to collaborate with others will also working independently.

 

Previous experience includes some/all of the following:

  • Being the face behind a logo, representing a project, program, or movement;
  • Involvement with public advocacy campaigns;
  • Managing small and large projects including some clerical/administrative work, paying attention to details, and seeing multiple projects through to successful completion; and/or
  • Communications and marketing work.

 

Location

The position is located in/around the Washington, DC area. The first 3 months will be in-person at our Rockville, MD office/warehouse, and after that it will be mixed remote and in-person. Many of the social posts require photos or videos to be made at our Rockville, MD office/warehouse or events in the District, Maryland, and Virginia (DMV) region on an ongoing basis, often with minimal advance warning. In other words, you need to live in the area!!
